Weekly Pool Service Checklist for Techs

A weekly route only runs well when every stop gets done the same way. When each tech works in a different order, things get skipped: a pump basket stays full, the gate is left open, or a reading goes unwritten. This checklist lays out one standard stop in the order most techs work, with the water targets and the monthly jobs that don’t belong on every visit. It’s also plain enough to hand a customer who wants to know what they’re paying for each week.

What does weekly pool service include?

A full weekly stop has four parts:

  • Cleaning: skim, brush, vacuum, and empty the skimmer and pump baskets.
  • Water: test, then add chemicals to bring the readings into range.
  • Equipment: check filter pressure, look and listen for leaks and noises, and confirm the timer or automation settings.
  • Documentation: photos, logged readings, and a service note the customer can see.

If you sell a chemical-only or cleaning-only tier, write down exactly which of these steps it leaves out. That list belongs in your service contract so nobody argues later about what was included.

The weekly pool service checklist, step by step

1. Arrival and safety check

Before you open your kit, walk up and look. Check for dogs in the yard, standing water near electrical equipment, broken or missing drain covers, and anything floating that shouldn’t be. Note whether the gate was latched when you got there. If something looks unsafe, photograph it before you touch anything.

2. Skim, brush, and vacuum

Skim the surface first so leaves don’t sink while you work. Brush the walls, steps, and waterline from the top down toward the main drain. Then vacuum or check the automatic cleaner and empty its bag or canister. Brushing before you vacuum lets the filter or vacuum pick up what you knocked loose.

3. Empty the skimmer and pump baskets

Empty every skimmer basket. Turn the pump off before you open the pump lid. Clean the basket, check the lid O-ring for cracks or dryness, and make sure the lid seats evenly. Once the pump is back on, confirm it primes and the basket fills with water, not air.

4. Check the pressure gauge and filter

Read the filter pressure with the pump running and the baskets clean, and write it down. The number that matters is the difference from the clean-filter pressure you logged right after the last filter cleaning. Your filter manufacturer’s manual says how much of a rise means it’s time to clean or backwash, so use that figure for each model on your route. A stuck gauge or one reading zero with the pump on should be replaced.

5. Test the water

Test after cleaning and before you add anything. Pull your sample from elbow depth, away from return jets and any chlorine feeder. CDC notes that DPD test kits give more accurate chlorine readings than test strips, and says to follow the maker’s directions for whatever you use (CDC). The readings and target ranges are listed in the next section.

6. Balance chemicals

Fix pH and alkalinity first, since pH affects how well chlorine works. Then add chlorine for the week ahead. Dose from the actual readings and the pool’s volume, not from memory, and add one product at a time. Brush or circulate between additions, and follow the label on every product.

7. Check equipment for leaks and noises

Look at the pump, filter, heater, valves, and plumbing for drips, wet soil, salt crust, or white residue at unions. Listen to the pump. Grinding, screeching, or a pump that runs rough is worth a note and a photo, even if you aren’t the one who repairs it. Early warnings sell repair work and head off the “it was fine until you came” call.

8. Check the timer or automation

Confirm the clock shows the right time, especially after a power outage or a time change. Check that run times and any heater, lights, or salt cell output settings match what you agreed with the owner. If the customer changed something, write down what you found.

9. Take photos and notes

At minimum, take one photo of the pool when you finish and one of anything unusual: equipment damage, a broken gate latch, heavy debris from a storm, or water that was already cloudy when you arrived. Photos with a timestamp settle more disputes than any explanation.

10. Log readings

Write down every reading you took, every chemical and amount you added, and the filter pressure. Do it at the pool, not later in the truck from memory. A paper printable pool chemical log sheet works fine for a small route.

11. Close and latch the gate

Close the gate and test that it latches. If it doesn’t close and latch on its own, don’t just push it shut and leave. Photograph it and tell the owner the same day. Barrier rules differ by city and county, so check what applies where you work.

12. Leave a service note

Keep it short and consistent. A simple format:

Serviced today. Brushed, vacuumed, baskets emptied. Free chlorine 1.5, pH 7.8 on arrival; added liquid chlorine and acid. Filter pressure up since last cleaning, scheduling a filter clean next visit. Pump lid O-ring is worn, recommend replacing.

Which readings to test each visit, and target ranges

The working targets below come from Taylor Technologies’ pool and spa testing guide. The last column shows CDC’s guidance for public pools, which sets minimums rather than ideals (CDC).

Taylor also lists combined chlorine under 0.4 ppm as a target. The “how often” column is a schedule that fits a weekly route. For salt pools, Taylor recommends checking alkalinity weekly and calcium hardness at least monthly.

Residential targets vs. public pool minimums

Don’t read CDC’s public pool numbers as goals. They’re floors, and CDC pairs them with testing at least twice a day at public pools. On a weekly route, the chlorine you leave has to last seven days of sun and swimmers, so aim for the working range, not the floor. CDC also advises home pool owners to test chlorine and pH at least twice a day, more often with heavy use (CDC). A weekly service can’t do that. Tell customers plainly that testing between visits, with a kit or strips, is their job.

Salt pools

For salt pools, use the range from the chlorinator’s manufacturer, not a general number. Taylor’s guide for pools with salt chlorinators says the same. It also warns that automatic salt readouts can be wrong, especially when the cell has scale, so check salt with a test kit instead of trusting the display. For example, Hayward lists 2,400–3,400 ppm for its AquaRite system. Other brands and models can differ, so check the manual for the system on each pool.

Monthly and seasonal pool maintenance schedule

These jobs matter, but they don’t need doing every week.

  • Filter cleaning. Clean cartridges or backwash when the pressure rise hits the manufacturer’s number, and after storms or algae cleanups. Write down the new clean-filter pressure each time so next week’s reading has something to compare against.
  • LSI check. Calculate the saturation index at least monthly and whenever the water temperature changes a lot with the season. It takes pH, alkalinity, calcium hardness, and temperature, plus optional CYA, dissolved solids, and borate. Taylor’s LSI calculator treats −0.30 to +0.30 as balanced, −0.30 or lower as corrosive, and +0.50 or higher as scale-forming. You can run the numbers with the free LSI calculator.
  • Calcium hardness and CYA. Test both at least monthly. CYA builds up if the pool gets stabilized chlorine, and water you add dilutes it, so it drifts either way.
  • Tile line and scale. Look for white or gray scale at the waterline. Treat early buildup before it hardens. Positive LSI readings month after month are usually why it keeps coming back.
  • Salt cell inspection. Look inside the cell for scale and clean it the way the manufacturer says to.
  • Seasonal changes. Adjust pump run times and salt cell output as the weather warms and cools, and recheck the timer after daylight saving changes.

Why logging pool readings matters

Records

CDC tells public pool operators to keep accurate records of disinfectant and pH readings and maintenance work (CDC). That guidance is written for public pools, but the habit is just as useful on a residential route. Disputes

When a pool turns green three days after your visit, or an owner blames you for etched plaster, a dated log with readings, amounts added, and a photo is your answer. Without one, it comes down to your word against theirs.

Spotting trends

One reading tells you where the water is today. A column of readings tells you why. As an example with assumed numbers: if a pool’s CYA goes 40, 55, 70 ppm over three monthly tests while you’re using stabilized tablets, you know to switch to unstabilized chlorine before the reading climbs further. A pool that needs much more chlorine than similar pools on your route every week points to a leak, an overflowing autofill, or algae starting to grow.

Pool chemical safety basics

Pool chemicals hurt people, and often at homes. In CDC’s review of 2015–2017 emergency department data, at least 56.3% of pool chemical injuries happened at a residence (CDC MMWR). The same report lists these precautions:

  • Never mix chemicals. Don’t combine different pool chemicals with each other or anything else. Chlorine and acid together can release toxic gas.
  • Add chemicals to water, never water to chemicals. If a label says to predissolve, pour the product into a bucket of water. Adding water to the chemical can cause a violent reaction.
  • Read the label or safety data sheet (SDS) before using a product, including one you’ve used before.
  • Wear protective gear such as goggles, gloves, and a mask, as the label directs.

For storage, CDC’s pool chemical safety guidance for operators says to keep chemicals in their original labeled containers, below 95°F, with SDSs close by, and to follow local fire and building codes. A service truck in summer can get hotter than that, so plan how long chemicals ride in it.

Making the checklist stick

Print the checklist, put it on every clipboard or phone, and do ride-alongs until new techs work in this order without looking. The steps that usually get skipped are the last ones: logging, the gate, and the note. They’re also the steps that protect you when something goes wrong.
